We Built an AI Voice Agent That Books Appointments at 2AM

Speed to lead is one of the highest-leverage improvements any home service company can make. Studies show that the odds of contacting a lead drop by 100x between the 5-minute mark and the 30-minute mark. And after business hours, the average home service company doesn't call back until the next morning.

We built an AI voice agent to solve this. Here's how it works.

What the Agent Does

When a new lead comes in. from any source. our system triggers an outbound call within 60 seconds. The AI agent introduces itself, confirms the lead's interest, qualifies them with 3 to 5 questions, and if they're a fit, offers to book an appointment directly into the technician's calendar.

The whole call takes 2 to 4 minutes. The lead never waits on hold. The appointment appears in the CRM automatically.

The Technology Stack

We built this on top of a combination of ElevenLabs for voice synthesis, a custom conversational AI layer trained on each client's specific services and offers, Twilio for telephony, and Go High Level for CRM integration. The voice quality is human enough that most leads don't realize they're talking to an AI until they ask directly.

What the ROI Looks Like

Across our clients running the voice agent, we're seeing a consistent pattern: contact rate on after-hours leads increases by 60 to 80%, and overall appointment booking rate increases by 25 to 40% compared to a human follow-up workflow.

The system costs roughly $1,200/month at our volume. For a business generating 100 leads per month with an average job value of $3,000, improving contact rate by 60% is worth an additional 6 to 8 closed jobs per month. The math works.

What It Can't Do

The AI agent qualifies and books. It doesn't close complex sales, handle objections about price, or replace a human technician on a sales call. We're explicit with clients about this. The agent gets the lead to a booked appointment. the sales team closes from there.

For businesses with average job values above $5,000 or complex multi-step sales processes, the agent works as a first-touch qualifier and appointment setter only.
